About the role

We’re on the lookout for a highly organised, people-focused Talent Acquisition Coordinator to join our growing Talent Acquisition team! If you thrive in fast-paced environments, love keeping things running smoothly behind the scenes, and are passionate about creating great candidate experiences, we want to hear from you.

In this role, you’ll be the glue that holds our hiring process together — from scheduling interviews to managing our Applicant Tracking System (Greenhouse), tracking data, and making sure everything (and everyone) is in the right place at the right time.

Your responsibilities

Applicant Tracking System (Greenhouse) Management

  • Own job postings across Greenhouse, LinkedIn, and internal platforms like Slack.
  • Keep candidate records spotless and up to date — from resumes and scorecards to emails and interview notes.
  •  Make sure our hiring data is clean, consistent, and ready for reporting.

Interview Coordination

  • Schedule interviews like a pro — balancing calendars, managing logistics, and ensuring a smooth process for candidates and interviewers alike.
  • Share detailed interview itineraries and prep materials to set everyone up for success.

Candidate Experience

  • Be a friendly and reliable point of contact for candidates throughout their journey with us.
  • Ensure every interaction is timely, professional, and positive — we’re all about making great impressions.

Reporting & Insights

  • Pull reports and data from Greenhouse to help us stay on top of key hiring metrics.
  • Support the team with insights into pipeline progress and recruitment performance.

Process & Workflow Support

  • Track candidates through every stage of the process, proactively flagging delays or bottlenecks.
  • Partner with HR on onboarding activities to ensure a smooth handoff post-hire.

Your skills and experience

  • Experience in a recruitment coordination or admin support role.
  • Hands-on experience with Greenhouse (or a similar ATS).
  • Super strong organisational and time-management skills.
  • Excellent communication — written, verbal, and everything in between.
  • Comfortable using Google Workspace or Microsoft Office Suite.
  • Eagle-eyed attention to detail and the ability to juggle multiple tasks.
  • Professionalism and discretion when handling sensitive information.
  • Previous experience in HR or Talent Acquisition teams.
  • Comfort working with recruitment metrics, dashboards, or reporting tools.
  • Experience working with distributed or remote teams.

Salary range:
£27,000£30,000 GBP

Ways of working

On a typical day you’ll be working from a laptop with a screen, mouse, keyboard, and headset.  You’ll be meeting your colleagues on Zoom and keeping in touch regularly via email and Slack too – we’d expect you to be using your computer for around seven hours a day.  We’d ask that you have a distraction-free work area and a reliable internet connection with a speed of 25Mbps so you can work effectively.  We’ll make sure you have the right home set-up that supports you in the role by providing best-in-class technology, money towards a desk, and vision support.

Inclusion at ManyPets

We promise to give you the same opportunities as everyone else and we won’t discriminate against you at any point in the process. This includes how we source talent, our interview process, our conditions of employment (including pay) and feedback.  If you'd like to read more about this, please download our Approach to Inclusion policy.

Reasonable adjustments and support

If you need any help, support, or advice at any point during the hiring process please email Inclusion@ManyPets.com.  If you want to ask any questions or request an adjustment, please let us know and we'll do what we can to flex our approach.
